Organizing Your Fundraiser

  • First, clearly state your objective. This should include a total amount of funds you want to raise as well as the reason for the fundraiser. For example, a non-profit animal shelter wants to raise $2,000 for dog food and other supplies. Knowing your total dollar goal allows you to set individual goals for each fundraiser participant based on the total amount your organization wants to raise. Be clear with all participants about the reasons for your fundraiser and this will boost excitement and involvement.

  • Second, set a firm deadline. The average fundraiser last about two weeks; some may run a little longer based on organization’s needs. Setting the length of your fundraiser will keep your participants motivated and involved.

  • Third, if possible schedule a meeting before your fundraiser starts. Review your objective, dollar goal and deadline. Review any sales brochures and paperwork so all participants are familiar with them. Discuss all fundraising products, prices and packaging. Emphasize the deadline and stress the importance of handing in all sales on time as any late orders will delay delivery of the orders. Remember, prompt delivery after ordering will ensure customer satisfaction and likely repeat business!

  • Fourth, stay in touch with your group periodically to update them on the progress of the fundraiser. A passionate & positive leader will make for a successful fundraiser!

  • Fifth, if possible, advertise your fundraiser! Think of possible outlets where you could mention your fundraiser for free - in your organization’s newsletter or in a mass email to your supporters. You can also post fundraising information on community bulletin boards in libraries and supermarkets. And of course, remind participants during meetings, games or practice. Try to talk about your fundraiser wherever you go, as you never know who might be a potential participant or customer! Keep a sales brochure with you as you never know when an opportunity might present itself.

  • Sixth, have your participants collect money upon taking orders with all checks made out to your organization. If you are holding a large fundraiser, solicit volunteers to assist you in tallying orders. Make sure to recheck your totals.

Tips for Participants

  • Before you begin selling, make a list of everyone you know including family and friends, neighbors, fellow school parents, business colleagues, clients - anyone that you think might be interested in your fundraiser. You can often find stores or gas station convenient centers that will agree to let you set up a small table at their location for your fundraiser.

  • If children are involved in the fundraiser, make sure adult supervision is provided when they are selling – at all times. Never let children sell door-to-door in unfamiliar neighborhoods. If deemed old enough, teenagers can use the buddy system but should always advise their parents of their location and return time.

  • To approach a potential customer, be pleasant and informative. State your name, the organization’s name and the purpose of the fundraiser. Often, explaining your goals will increase the chance of a sale. Keep your speech short and concise. It may help to practice a few times beforehand.

  • Smile, be polite and always say thank you – even if they don’t buy from you! Remember you are representing your organization to the public. Try to be confident - be yourself and have fun!
